Setup and Maintain Course Catalog

This function allows the user to setup and maintain course catalog such as:

Role Involved:Ministry of Education – Department of Schools Administrator

View Course Catalog

  1. Navigate to Main Menu > Curriculum Management > Course Catalog > Course Catalog

  2. User will be directed to Course Catalog search page.

  3. Click on the lookup button and select the Academic Institution.

  4. Click on the lookup button and select the Subject Area.

  5. Enter the Catalog Nbr.

  6. Click on the Search button.

  7. Search results will be shown. Select any of the record.

  8. User will be directed to Course Data page.

Add Course Catalog

  1. Navigate to Main Menu > Curriculum Management > Course Catalog > Course Catalog

  2. User will be directed to the Course Catalog search page.

  3. Click on Add a New Value tab.

  4. User will be navigated to Add a New Value tab.

  5. Click on Add button to add a new course catalog.

    6. Note:
    Course ID will automatically be assigned a running number.

  6. User will be directed to Catalog Data page.

  7. Enter the Effective Date as 01/01/1901.

  8. Click on the dropdown menu and select the Status.

  9. Enter the Description, Long Course Title and Long Description of the subject.

  10. In Course Units/Hours/Count section, enter Minimum Units, Maximum Units, Academic Progress Units and Financial Aid Progress Units as 1.00.

  11. Click on the dropdown list and select the Grading Basis.

  12. In Repeat for Credit Rules section, check the Repeat for Credit and Allow Multiple Enroll in Term checkbox.

  13. Enter the Total Units Allowed and Total Completion Allowed as 8.

  14. Click on the Offerings tab.

  15. User will be directed to Offerings page.

  16. Enter the Course Offering Nbr. Offering Nbr should match the last 3 digits of the school code. For example, Campus 1034, the Course Offering Nbr should be 34. If it is offered to Sixth Form 5001, the Course Offering Nbr should be 1.

  17. Enter the Catalog Nbr. The Catalog Nbr consist of 4 digits.

    18. Note:
    1st Digit - Career: 1 - Preschool
    2 - Primary
    3 - Secondary/Sports
    4 - Sixth Form
    2nd Digit - Year: 1 – Year Pre-school/Year 1/Year 7/Lower Sixth
    2 – Year 2/Year 8/Upper Sixth
    3 – Year 3/Year 9
    Last 2 Digits - Running Number for related subjects and subjects with different grading basis for e.g. 01 – Mathematics Express
    02 – Mathematics GCEO
    03 – Mathematics IGCSE

  18. Click on the lookup button and select the Academic Group as MOE.

  19. Click on the lookup button and select the Subject Area.

  20. Click on the lookup button and select the Campus.

  21. Click on the lookup button and select the Academic Organization. Ensure the Academic Organization is the same as Campus.

  22. Ensure the Academic Career is correct. It is derived from the Catalog Nbr.

  23. Click on the dropdown list and select Course Approved as Approved.This is to enable school to schedule the subject in timetable.

  24. To add the remaining schools to this Course Catalog, click on the [+] button and repeat steps 16 - 23.

  25. Click on the Components tab.

  26. User will be directed to Components page.

  27. In the Course Component section, select Course Components as Class.

  28. Click on the dropdown list and select the Final Exam as Yes.

  29. In the Course Attendance section, click on the lookup button and select the Instruction Mode as In Person (IP).

  30. Click on the dropdown list and select the Attendance Type as Class Meeting.

  31. Click on the Save button to save the record.

Update Course Catalog

  1. Navigate to Main Menu > Curriculum Management > Course Catalog > Course Catalog

  2. User will be directed to the Course Catalog search page.

  3. Click on the lookup button and select the Academic Institution.

  4. Click on the lookup button and select the Subject Area.

  5. Enter the Catalog Nbr.

  6. Click on the Search button.

  7. Search results will be shown. Select any of the record.

  8. User will be directed to Course Data page.

  9. Click on ‘+’ button add a new row before updating.

  10. Enter the Effective Date.

  11. Update the relevant information.

  12. Click on Save button to save the record.
