Assign Extra Instructors

This function allows the users to assign school registrar and school HEP teachers as class primary instructors.

Note: It is important to note that you CANNOT run the process for past terms so the deadline to run for each term will be the day before the Term End Date.

Assign Extra Instructors - All

Role Involved: School Timetabling Admin

1. Navigate to Main menu > Curriculum Management > Schedule of Classes > Assign Extra Instructors - All

2. Click on Add a New Value tab.

3. In the Add a New Value tab, enter the Run Control ID.

4. Click on the Add button.

5. You will be directed to the Assign Extra Instructors by Class - All page.

6. Click on the look-up button to view list of the Institution and select the institution.

7. Click on the drop-down box to view list of the Acad Career and select the Acad Career.

Note: Primary Schools are only required to run ONCE for Primary Academic Career. There is no need to run for Preschool Academic Career.

8. Click on the look-up button to view list of the Campus and select the campus.

9. Click on the look-up button to view list of the Term and select the term.

10. Click on the look-up button to view list of the Session and select the session.

11. Click on the Assign all classes check-box to assign instructors to all classes.

Note: A message will pop-up. Click on OK.

12. Click on the save button.

13. Click on the Run button to begin the Assign Extra Instructors process.

14. Ensure the process name MOE_EXT_INS in Process Scheduler Request page is checked.

15. Click on OK button.

16. In the Assign Extra Instructors by Class – All page, click on the Process Monitor link.

17. User will be directed to Process List page and should be able to see that “Run Status: Queued and Distribution Status: N/A” for the process name MOE_EXT_INS.

18. At interval times, click on the Refresh button until user sees the “Run Status: Success and Distribution Status: Posted”.

Note: Waiting time depends on the no. classes.

19. Click on the Details link that is to the right of the process name MOE_EXT_INS.

20. In the Process Detail page, click on the View Log/Trace link.

21. In the View Log/Trace page, click on the .log link.

22. User will be directed to the log file page.

23. Scroll down to the After Assignment section to view the extra instructors assigned to the classes.
