Assign Teachers/Persons In-charge of Clearance Items
This function allows the users to assign Teachers/Persons to be in-charge of updating the status of each Clearance Checklist items. This setup needs to be done for each school before the clearance checklists are created for the students.
Add a new list of Checklist Items In-Charge
Role Involved: School Admin - Student Clearance (MOE_SCHL_ADMIN_STDNT_CL)
Navigate to Main Menu > Records and Enrollment > Student Movement > Clearance > Checklist Items In-Charge.
To add a new list of Checklist Items In-Charge, click on Add a New Value tab.
Click on the Campus lookup button and select the campus (school) the School Admin - Student Clearance belongs to.
Click on the Calendar icon next to *Effective Date to select the date this list of Teachers/Person In-Charge is effective from as Effective Date. For the first time select the date 01/01/2015.
Click on the *Status dropdown box and select ‘Active’ from the list to activate the list of Clearance Items In-Charge.
Click on the *Checklist Item lookup button to select the Clearance Checklist Item. Select the Clearance Checklist items one by one.
Click on the *Staff ID lookup button to select the Staff ID of the Teacher/Person In-Charge of the Clearance Item.
To add another Checklist Items In-Charge assignment, click on the ‘+’ icon in the Assignments section.
To remove an existing assignment, click on the ‘-‘ icon against the row in the Assignments section.
Select the next Checklist Item in the *Checklist Item lookup and click on the *Staff ID lookup to assign the teacher/person in-charge of it.
To add another Checklist Items In-Charge assignment, click on the ‘+’ icon in the Assignments section.
Select the same Checklist Item in the *Checklist Item lookup and click on the *Staff ID lookup to assign another teacher/person in-charge of the same item.
Once the assignment is complete, click on the Save button to save the assignment of Teachers/Persons In-Charge of Clearance items.
Note:
For a given school, when assigning teachers/person in-charge of clearance checklist items, the same person can be assigned for all the items as well assigning multiple persons for a single item. The school needs to make sure that at least one person is assigned to each item in the Clearance checklist relevant to the school.
Update the list of Checklist Items In-Charge
If the Teachers/Persons In-Charge of the items change, then the assignment needs to be updated.
Role Involved: School Admin - Student Clearance (MOE_SCHL_ADMIN_STDNT_CL)
Navigate to Main Menu > Records and Enrollment > Student Movement > Clearance > Checklist Items In-Charge.
To update the existing Checklists Items In-Charge assignments list that you have saved, click on the Find an Existing Value tab.
Click on the Campus lookup icon and select the campus (school) the School Admin - Student Clearance belongs to.
Click on the Search button to search for the saved Checklist Items In-Charge list.
Click on the ‘+’ icon in the Checklist Items section to add a new Checklist Items In-Charge record.
Click on the *Effective Date calendar icon to select the Effective Date for the new Checklist Items In-Charge list.
Click on the *Status dropdown box and select ‘Active’ from the list to activate the list of Clearance Items In-Charge.
Click on the ‘+’ icon in the Assignments grid, to add a new teacher/person in-charge to the existing list. User can either add a new checklist item or a new staff to an item which is already added.
Click on the ‘-‘ icon in the Assignment grid, to remove any incorrect assignment for the school.Once the assignment is complete, click on the Save button to save the assignment of Teachers/Persons In-Charge of Clearance items.
