Progress SAPYR9 Student
This function allows the users to progress SAPYR9 student to their specialized plans which should only be done at the end of every final term of the year. Specialized plans for SAP Year 10 are as follows:
- Year 10 Art & Design (SCARDY10)
- Year 10 Business Administration (SCBSAY10)
- Year 10 Creative Media Production (SCCMPY10)
- Year 10 Hospitality (SCHOSY10)
- Year 10 IT User (SCITUY10)
- Year 10 Sports & Leisure (SCSALY10)
Note: Kindly refer to this document to view the type of Academic Program and Plan that is required to use SAPYR9 csv template in order to run the process.
Generate List of SAPYR9 Student
Roles Involved: School Student Registrar
Navigate to Main Menu > Reporting Tools > Query > Query Viewer.
The Search Results will appear at the bottom of the Query Viewer.
User will be directed to MOE_PR_SAPYR9 - Yr9 SAP stdnt window.
Click on the lookup button and select the Academic Institution.
Click on the View Results button to download the file in excel format.
Note: User should only be able to select and view reports on their own campus.
Note: User should select the end of the term as students are only progressed at the end of the year. Example term 1530 for progressing students to year 2016.
Create CSV (Comma delimited) File
Roles Involved: School Student Registrar
Open the downloaded excel file from the query MOE_PR_SAPYR9 result.
Fill in New Acad Prog, New Acad Plan, and Class Section as title in the next three column after Current Acad Plan.
Enter PLNC for progressing student or DATA for retaining student as field in Program Action.
Enter the correct field for New Acad Plan. Example SCHOSY10, SCARDY10, SCBSAY10, SCSALY10, SCCMPY10, and SCITUY10.
Note: Highlight the first row, then right-click and select Delete from the dropdown list.
Note: Right-click on the first column and select Insert from the dropdown list.
Note: Right-click on the Current Acad Prog column and select Insert dropdown list.
Note: The format for the file should look like this.
Note: Class Section should only be maximum of 4 characters. Example 10A, 10XP, 10S1, and etc.
Upload SAPYR9 CSV File
Roles Involved: School Student Registrar
Navigate to Navigate to Main Menu > Student Admissions > Processing Applications > Student Progression.
Enter the Run Control ID. Format should be Code_Term_SAPYR9. Example 3030_1530_SAPYR9.
Click on Choose File button to look for the .csv file containing the students’ progression details.
Click on the Run button to run the process for Student's Progression Program
Ensure the process name MOE_PRGSN_AE in Process Scheduler Request page is checked.
User will be directed back to the Student’s Progression page. Process Instance number will be provided, click on the Process Monitor link.
User will be directed to the Process List page and should be able to see that “Run Status: Queued” and “Distribution Status: N/A” for the process name MOE_PRGSN_AE.
At interval times, click on the Refresh button until user sees “Run Status: Success” and “Distribution Status: Posted”.
Click on the Details link that is to the right of the process name MOE_PRGSN_AE.
In the Process Detail page, click on the View Log/Trace link.
User will be directed to the log file page where the Total number of input rows, No of successful uploaded rows, and No of Error rows will be shown
Note: User should select the end of the term as students are only progressed at the end of the year. Example term 1530 for progressing students to year 2016.
Verify Student Progression
Roles Involved: School Student Registrar
Navigate to Main Menu > Records and Enrollment > Career and Program Information > Student Program/Plan.
In the Student Program/Plan page, search for a particular student by entering the Student ID.
- Effective Date should be a day before the start of the term
- Program Action should be PLNC (Program Change)
- Academic Program should be the same as previous program
- Admit Term should be the same as previous record
- Academic Plan should be Year 10 plan
- Declare Date should follow the Effective Date
- Requirement Term should follow the Admit Term
